Privacy Policy

You will find here the legal information regarding SYNERGEE, our platform, and our services. These notices ensure transparency and compliance with applicable legislation.

Privacy Policy

We at Synergee appreciate your visit to our website and your interest in our company, products, and services. We take the protection of your personal data and its confidential treatment seriously. Your personal data is processed exclusively in accordance with the provisions of European Union data protection law, in particular the General Data Protection Regulation (hereinafter referred to as the "GDPR") and the applicable national data protection legislation.

This privacy policy is intended to inform you about how we process your personal data and about your rights as a user of our website. The terms used, such as "personal data" or its "processing," are defined in accordance with Article 4 of the GDPR.

1. Data controller and data protection officer

You can contact our data protection officer as follows:

Christophe LeuilletR&D Manager1 rue Albert Einstein, Mende (48000)christophe.leuillet@synergee.com

2. Purpose and basis of data protection

Data protection concerns personal data. This refers to any information relating to an identified or identifiable natural person (referred to as the "data subject"). This includes, for example, information such as your name, postal address, email address, or telephone number, but also information that necessarily arises from your use of our website, such as information about the start, end, and extent of your use, as well as the transmission of your IP address.

We process personal data in accordance with the applicable data protection regulations. This means that we only process your data where you have expressly given us your consent, or where we have a legal authorization to do so — for example, if the processing of the data is necessary for the provision of our contractual services (order processing), is required by law, or is based on our legitimate interests within the meaning of Article 6(1)(f) of the GDPR (for example, our interest in the analysis, optimization, and secure operation of our online services).

We take organizational, contractual, and technical security measures in line with the state of the art in order to ensure compliance with data protection rules and thereby protect the data we process against accidental or intentional manipulation, loss, destruction, or access by unauthorized persons.

3. Processing of data transmitted when accessing our website

It is generally possible to use our website without registering and without transmitting personal data. Even if you use our website solely for informational purposes, personal data may be collected and processed automatically. Below you will find an overview of the type, scope, purposes, and legal basis of data processing through our website.

a. Provision of our website

When you access our website via your device, we automatically collect and process the following data in the server log files:

  • the date and time of the visit
  • the device type
  • the operating system used
  • the features you use
  • the amount of data transmitted
  • the referrer URL
  • the domain
  • the IP address
  • the server status code for a request (e.g. 404, etc.)

We process this data on the basis of our legitimate interests in accordance with Article 6(1)(f) of the GDPR, in particular the provision and display of the website, ensuring and maintaining technical operation, detecting and correcting faults, and security (for example, improper use and cases of fraud). This data is processed automatically when you access our website. Without this provision, you will not be able to use our website. We do not use this data for the purpose of drawing conclusions about your identity.

b. Cookies

In order to offer you a full range of features on our website, to make its use more convenient, and to optimize our offerings, we use "cookies." Cookies are small text files that are stored on your computer or on its associated hard drive, linked to the browser you use, and through which certain information is transmitted to the provider. Cookies cannot run programs or transmit viruses to your computer. They help make websites more user-friendly and efficient. We use cookies for different purposes and with different functions. Accordingly, we distinguish whether a cookie is technically strictly necessary, for how long it is stored and used, and whether it was generated by our website or by third parties.

We use certain cookies because they are strictly necessary for the proper functioning of our website and its features. These cookies are set automatically when you visit our website or a specific feature, unless you have blocked the installation of cookies by making the appropriate settings in your browser. Other cookies are not strictly necessary — for example, those used to improve the comfort and performance of our website, or to save certain settings you have made. We also use these cookies to determine how frequently certain areas of our website are used, so that we can adapt them more specifically to your needs in the future.

Most cookies are only needed for the duration of the service you require or of your current session, and are then deleted or expire as soon as you leave our website or as soon as your current session ends (these are known as "session cookies"). Only occasionally are cookies stored for a longer period — for example, to recognize you on your next visit to our website and to be able to access the stored settings (these are known as "persistent cookies"). This allows you to access our website more quickly or more easily — for example, because you do not need to make certain settings again. Persistent cookies are automatically deleted at the end of a predefined period, which may vary depending on the type of cookie and its function, when you access the page or domain from which the cookie was created.

"Third-party cookies" are created and used by other websites — for example, by providers of web analytics tools. You will find more information about web analytics tools and audience measurement later in this privacy policy. Third-party providers may also use cookies to display advertising or to embed content from social networks.

Accepting cookies when using our website is not mandatory. If you do not want cookies to be used, you can prevent them from being stored on your computer by making the appropriate settings in your browser, or by using separate options to object to them. Please note that this may limit the functionality and scope of the features of our website. You can delete stored cookies at any time through your browser settings. For detailed information about the type, scope, purpose, legal bases, and any objections to data processing using cookies, please refer to the following descriptions of the various functions relating to the use of cookies.

c. Google Analytics

On our website, we use Google Analytics, a web analytics service provided by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA ("Google"). Google uses cookies. The information generated by the cookies about your use of this site is generally transmitted to a Google server in the United States and stored there. The data processing is carried out on the basis of our legitimate interests in accordance with Article 6(1)(f) of the GDPR, in particular our interest in the analysis, optimization, and economic operation of our online offering. Google is certified under the Privacy Shield agreement and thereby guarantees compliance with European data protection legislation.

Google will process the information transmitted on our behalf in order to evaluate the use of our online offering, to compile reports on the activities within this online offering, and to provide us with other services related to the use of our website. User profiles may be created, using pseudonyms, from the processed data.

We use Google Analytics only with IP anonymization enabled. This means that Google will truncate the IP address of users within the member states of the European Union or in the other states party to the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the United States and truncated there. The IP address transmitted by your browser will not be combined by Google with other information. You can refuse the storage of cookies by selecting the appropriate settings in your browser. You can also prevent Google from collecting the data generated by the cookie and related to your use of the website, as well as the processing of this data by Google, by downloading and installing the plug-in available at the following address:http://tools.google.com/dlpage/gaoptout?hl=de

You will find more information about Google's use of data, the settings options, and the possibilities to object on Google's websites, including the following link: http://www.google.de/intl/de/policies/privacy/.

d. Social media plugins

We have integrated the following social media plugins on our website: Facebook, Twitter, and LinkedIn. You can recognize the provider of the plugin by the initial letter or the logo of the corresponding icon or button. We mainly use the so-called "two-click" solution, which means that when you access our website, no personal data is transmitted to the plugin providers in advance.

The plugin content is then transferred directly from the relevant provider to your device for display. In return, personal data — in particular your IP address — is transmitted directly from your device to the plugin provider. By activating the plugin, personal data is transferred from your computer to the relevant plugin provider (the U.S.-based providers in the United States) and stored in its system. In some cases, however, the IP address is truncated by the providers before being transmitted. We have no influence over the data collected or over the processes involved in its processing, nor are we aware of the extent of the data collection, the purposes of the processing, or the retention periods. We also have no information about the deletion of the data collected by the plugin provider.

The plugin provider stores the data collected about you as user profiles and uses them for advertising, market research, and/or demand-driven design of its website. Such evaluation is carried out in particular for the purpose of displaying demand-oriented advertising and of informing other users of the social network about your activities on our website. You have the right to object to the creation of these user profiles; to exercise this right, you must contact the relevant plugin provider. Through the plugins, we offer you the possibility to interact with social networks and other users, in order to improve our offering and make it more interesting for you as a user. Accordingly, the data processing is carried out on the basis of our legitimate interests in accordance with Article 6(1)(f) of the GDPR, in particular our interest in the analysis, optimization, and improvement of our website, and specifically the provision and facilitation of certain content from our website via social networks.

The transmission of data does not depend in any way on whether you have an account with the plugin provider and whether you are logged in to it. If you are logged in to an account with the plugin provider, your data will be directly assigned to that account. If you click on the activated button and, for example, create a link to the page, the plugin provider will also store this information in your user account and may openly communicate it to your contacts.

You will find more information about the purpose and scope of the collection and processing of data by the plugin provider in the privacy policies of these providers listed below; there you will also find further information about your rights regarding the protection of your privacy and the related options:

e. Embedding of YouTube videos

We have embedded YouTube videos on our website, which are hosted on YouTube but can be viewed directly from our website. YouTube is a service provided by Google. Data is only transferred when the videos are played; we have no influence over this data transfer. All videos are embedded in "enhanced privacy mode," which means that, according to YouTube, no information about you as a user will be transmitted to YouTube unless you play the videos. If you do not want the collected and transmitted information to be associated with your profile on YouTube or Google, you must log out before watching the video. YouTube stores your data as user profiles and uses them for advertising, market research, and/or demand-driven design of its offerings. You will find more information about the processing and protection of data by YouTube and Google at the following address: www.google.de/intl/de/policies/privacy/.

f. Lead

The Lead solution complies with the GDPR. As part of GDPR compliance, the contact details of the DPO are specified as follows: Chloé Salomon, Groupe IDAIA, 3 rue Christian Franceries, 33520 Bruges, dpo@cartegie.com.

4. Offerings requiring registration, a newsletter, a contact form, event registration, etc.

In general, you will need to provide additional personal data that we use to deliver the relevant service or feature, as described below.

a. Getting in touch

The processing of the personal data you provide to us by email or through a contact form is always carried out with your consent. We will use your data to process your contact request in accordance with Article 6(1)(b) of the GDPR and, in this context, we may also pass it on to affiliated companies or third parties. We may also store this information in our customer relationship management (CRM) system. We delete the data you have provided to us as soon as the purpose of the collection has been fully fulfilled and in the absence of another legal basis (for example, where further processing of the data is or will be necessary for the performance of a concluded contract). If and for as long as there are legal retention obligations, we only delete the data after the expiry of the corresponding periods.

b. Synergee information service: newsletter, event invitations, etc.

You have the option of subscribing to the Synergee information mailing list on our website. We send newsletters, emails, and invitations to trade fairs and events (hereinafter referred to as "information services") by electronic and/or postal means, containing advertising information about our services and our company. The following information explains the procedure for registration, sending, and statistical evaluation, and informs you of your rights in this regard.

You can revoke your consent to receive our information at any time, in particular by unsubscribing from the information mailing list — for example, from the newsletter. You will find an unsubscribe link at the end of each newsletter so that you can exercise this right.

Surveys and statistical analyses — email newsletters contain image files with "invisible pixels" that are retrieved from the sending server when the newsletter is opened. During this retrieval, technical information — such as information about the browser and your system, as well as your IP address and the time of retrieval — is collected beforehand. This information is used to technically improve the services on the basis of the technical data, or to analyze target groups and their reading habits according to their location (which can be determined using the IP address) or access times. The statistical surveys also make it possible to determine whether and when newsletters are opened, and which links are followed. For technical reasons, this information can be attributed to individual newsletter recipients. However, we do not seek to monitor individual users. Rather, these evaluations help us recognize our users' reading habits and adapt our content to their needs, or send different content according to their interests.

The use of dispatch service providers, the conducting of surveys and statistical analyses, and the recording of reading habits are based on our legitimate interests within the meaning of Article 6(1)(f) of the GDPR. Our aim is to be able to use a user-friendly and secure information system that serves both our business interests and our users' expectations.

5. Synergee on social media

Internet platforms of social networks, such as Facebook and YouTube, offer us a very good opportunity to communicate and connect with our employees, customers, and prospects. Our presence on social networks is useful for communicating actively with our customers and prospects. There, we provide information about our services and company news.

When you visit our online presence on social networks, your data may be automatically collected and stored for advertising and market research purposes. From this data, so-called user profiles are created using pseudonyms. These profiles may be used, for example, to display advertisements — both within and outside the social networks — that may match your interests. For this purpose, cookies are generally installed on your end device. These cookies record visitors' behavior and users' interests. This information is usually recorded regardless of whether you have an account with the social network or are logged in at the time of your visit to any existing account. When you are registered with the social network, a cookie containing your identifier is placed on your end device; as a result, the social network is able to trace your visit to our page and how you used it.

To the extent that we assume responsibility for data protection for the data processing operations on the social networks, the data is processed on the basis of our legitimate interests in accordance with Article 6(1)(f) of the GDPR — namely our interest in optimizing and improving our online information offerings, as well as our communication with customers and prospects. If the operator of the respective platform asks you, or has asked you, to give your consent to the data processing — for example, as part of your registration for the social network, or through a checkbox in connection with the use of certain offerings — Article 6(1)(a) of the GDPR constitutes the legal basis in this context for the data processing.

We would like to point out that Facebook & Co. store and use their users' personal information (such as personal data, IP address, etc.) outside of their home country for their business purposes, in accordance with their privacy policies. We have only limited influence over the collection of data and its further use by the social networks. We do not know to what extent, where, and for how long the data is stored, to what extent the networks comply with existing deletion obligations, what evaluations and links are made with the data, or to whom the data is passed on. We therefore ask you to check exactly which personal information you authorize access to as a user. We recommend that you regularly review the privacy settings of the social networks you use.

If the operators of the social networks have their head office in the United States, they are generally certified under the EU–U.S. Privacy Shield, so that compliance with European data protection standards is guaranteed. You will find detailed information about the processing and use of data by the platform operators on their social networks, as well as contact options, your related rights, and settings options for the protection of your privacy — in particular options to object — in the data protection notices of the respective platform operators.

You can find out about the processing of data by the various social networks at the following links:

6. Recipients of personal data

Within our company, only those persons who need the personal data for the purposes indicated in each case have access to it. We only pass your personal data on to external third parties if this is necessary to process your request, if we have other legal authorizations, or if we have your consent.

In addition, it is possible that we may be required to pass personal data on to public authorities and institutions — for example, prosecutors' offices, courts, or tax authorities — for legally binding reasons. In this respect, the transfer takes place on the basis of Article 6(1)(c) of the GDPR.

7. Data processing in third countries

If data is transferred to entities whose registered office or data processing facilities are not based in a member state of the European Union or in another state party to the Agreement on the European Economic Area, we will ensure that the recipient provides an adequate level of data protection before the transfer — apart from the exceptional cases permitted by law (for example, through an adequacy decision of the European Commission, through appropriate safeguards such as the recipient's self-certification for the EU–U.S. Privacy Shield agreement, or the EU standard contractual clauses with the recipient) — or we will obtain your consent to the transfer of the data.

8. Storage period

Please refer to the description of the relevant offering or service for the storage period of personal data. In addition, or unless otherwise stated in the description of the relevant offering or service, the general rule is as follows: we only retain your personal data for as long as is necessary to achieve the purposes of the processing or — in the case of consent — for as long as you have not revoked your consent. In the event of an objection, we will delete your personal data, unless the applicable legal provisions permit further processing. We will also delete your personal data where we are legally obliged to do so. If and for as long as there are legal retention obligations, we only delete the data after the expiry of the corresponding periods.

9. Rights of data subjects

As a person affected by the processing of data, you have numerous rights. These include, in particular:

Right to information: You have the right to receive information about the personal data we store about you.

Right to rectification and erasure: You can ask us to correct inaccurate data and to delete your data.

Restriction of processing: You can ask us to restrict the processing of your data.

Objection to data processing based on the legal basis of "legitimate interest": You have the right to object at any time to the processing of your data by us, for reasons arising from your particular situation, insofar as it is based on the legal basis of "legitimate interest." If you exercise your right to object, we will stop processing your data, unless we can demonstrate compelling legitimate grounds that override your rights in order to continue the processing.

Refusal of cookies: You can also object to the use of cookies at any time.

Withdrawal of consent: If you have given us your consent to process your data, you can withdraw this consent at any time with future effect. The lawfulness of the processing of your data up until the withdrawal of your consent is not affected.

Right to lodge complaints with the regulatory authorities: In the event of a breach of data protection law, you can lodge a complaint with the competent regulatory authorities. You can contact the data protection authority responsible for your locality or country, or the data protection authority responsible for us.

You can exercise the rights described above only if the applicable legal conditions in this respect are met, even if this is not expressly mentioned in the description above.

If you have any questions about the processing of your personal data, your rights as a data subject, or your consent, you can contact us free of charge. To exercise all of the rights mentioned above, please contact us at the address: alexandre.chatti@synergee.com indicated in point 1 above, or by postal mail. Please make sure that we can clearly identify you.
